Summer workers

VCU hires students and other individuals as hourly employees during May 10 through Sept. 9 to perform a variety of duties.

Because summer workers are hourly employees, please note the following:

  • Departments should not pay hourly employees more than classified employees performing similar work in the same area.
  • We encourage departments to maintain information on duties performed by all their hourly employees. Completing the brief Wage Position Description form for these employees will satisfy this recommendation.

Hiring guidelines for student workers (hourly employees who are VCU students or students who attend another college or high school) 

For current VCU student workers who will continue to work at the university during the summer, there is no need to change their Banner position class or title.

For hourly employees who are students, please provide the following information on the Personnel Action Form (PAF):

  1. Banner position class/title
    • Use Position Number S00001 - Student Worker
  1. Hourly rate
    • Pay must be at least $7.25 an hour
  1. Employee class
    • SW 
  1. End date
    • If the job is ending at the end of the summer, the job end date should be no later than Sept. 9 

Please note - for students who work at VCU, Banner will automatically calculate FICA withholdings based on the student's enrollment status during each pay period. When students are not taking classes, FICA will be withheld. View the student workers web page for more information.

Next, complete the following documents/processes and forward your hiring packet — with the PAF — to VCU Human Resources at P.O. Box 842511:

  • Enter new hire data into Express Hire
  • Enter criminal records request into HireRight (if sensitive position, employee should go through Campus Police for fingerprint check)
  • eJobs application form
  • Federal and state tax forms
  • Direct deposit form
  • Personal data form
  • Form I-9 (employment eligibility verification)
    Note: Copy of documentation is required as an attachment
  • Child support disclosure form

To comply with state requirements, provide all new employees with access to appropriate policies; specifically, copies of the Commonwealth of Virginia’s Policy on Alcohol and Other Drugs and VCU’s Code of Ethics. The policy checklist [PDF] documents employee awareness of important VCU policies. HR does not need completed certificates of receipt.

For hourly employees who are not students, select a Banner position class and title using the same criteria required to hire a classified or hourly worker performing similar duties (view pay bands). Please provide the following information on the Personnel Action Form (PAF)

  1. Banner position class/title
    • The position number should correspond to the correct role
  1. Hourly rate
    • Pay must be at least $8.25 an hour
  1. Employee class
    • H1 
  1. End date
    • If the job is ending at the end of the summer, the job end date should be no later than Sept. 9
